This Privacy Policy describes how NORTHEAST TELEMETRY ("Company," "we," "us," or "our"), a service of NE APPLIED SYSTEMS, LLC, collects, uses, and shares information about you when you visit our website, use the Cost Estimator or our plugin made available through OpenAI products, communicate with us, receive customer dashboard access, or use our managed monitoring services. By using our website, plugin, or services, you agree to the practices described in this policy.

1. Information We Collect
A. Information You Provide Directly
We collect information you provide when you:
- Submit an inquiry or use the Cost Estimator — including details you choose to provide about yourself, your organization, location, property, equipment, systems, processes, and monitoring goals
- Receive customer dashboard access, when provided — including your name, email address, organization, and access credentials
- Communicate with us via email or other channels
B. Payment Information
We may invoice you directly or use a third-party payment processor, as described in your order or service agreement. If a processor collects payment-card information, that processor handles the full card details; we do not store full payment-card details on our own systems. We may retain invoices and transaction records, such as billing contact information, payment status, and transaction amounts, for recordkeeping purposes.
C. Website Usage Data
When website analytics are enabled, we or a configured analytics provider may collect certain information, including:
- IP address and approximate geographic location
- Browser type and version
- Pages visited and time spent on each page
- Referring URL (the page that linked you to our site)
- Device type and operating system
We use PostHog to understand aggregate website traffic and interactions. Privacy-protected session recordings may also be used to identify navigation problems. Form inputs and estimator conversation content are masked or excluded from these recordings. This data may be collected through browser storage and similar technologies. See Section 6 (Cookies and Browser Storage) for more details.
D. IoT Platform Data
When you or your organization use our IoT monitoring platform, we collect and process data generated by connected devices and systems, including:
- Device identifiers and metadata
- Sensor readings and telemetry data
- Operational and industrial performance data
- System logs and event records
This data is collected and processed on behalf of our business clients under the terms of our service agreements. See Section 8 (Platform Data - Business Clients) for more information.
E. OpenAI Plugin
Our plugin allows an authorized user to ask an AI assistant about equipment monitored through Northeast Telemetry, view telemetry charts, and request equipment-setting changes that the account owner has enabled. Changes are limited to preconfigured shared or client attributes and require the user's account permissions and separate approval in our approval interface. We receive the tool requests needed for these functions, not the user's full ChatGPT or Codex conversation history.
- Data processed: The requested operation, authorized account, dashboard and equipment references, device attributes, status, sensor readings, telemetry, alerts and relevant reference-document passages. For enabled changes, we also process the fixed setting and value, approval decision, action times and execution outcome. Limited connection and security records include granted permissions, tool names, outcome or error categories, request sizes and durations. Your Northeast Telemetry login email and role are returned when requested to identify the connected login
- Purposes of use: To verify access, answer monitoring questions, produce charts and summaries, process separately approved changes, prevent abuse and investigate service failures
- Recipients: At the authorized user's request, OpenAI receives the relevant monitoring information, reference passages and action-status information returned by the plugin. Our hosting and infrastructure providers process information necessary to run the service. OpenAI's handling of information is governed by its applicable terms and privacy settings
- Retention: We do not store full OpenAI conversations as plugin chat history. Monitoring data follows the applicable service agreement. The connection, approval and security-record schedules are described in Section 4
- User controls: You can decline an action, disconnect the plugin through OpenAI, revoke the connection through available Northeast Telemetry integration controls, or contact support for access, correction or deletion requests. Revocation prevents future authorized requests but does not undo a completed equipment action or automatically delete retained security records. Access remains limited to your authorized systems and permissions
The plugin must not be used to request access to another customer's equipment or monitoring data. Information separately submitted through our website, Cost Estimator, contact form, customer dashboard, or managed services is handled under the other sections of this Privacy Policy.
2. How We Use Your Information
We use the information we collect for the following purposes:
- To respond to your inquiries and provide customer support
- To create and manage customer dashboard access, when provided
- To provide, operate, and improve our IoT monitoring services
- To issue invoices, process payments, and maintain transaction records
- To send service-related communications such as dashboard access, billing, alerting, and technical notices
- To send marketing communications about our products and services when you have chosen to receive them (you may opt out at any time — see Section 9)
- To analyze website usage and improve our website's performance
- To detect, prevent, and address fraud, security issues, or technical problems
- To comply with legal obligations
3. How We Share Your Information
We do not sell your personal information. We may share your information in the following limited circumstances:
A. Service Providers
We share information with trusted third-party vendors who help us operate our website and deliver our services. These include:
- Analytics providers — when enabled, receive website usage data to help us understand how visitors use the site and which campaigns brought them here
- Email delivery providers — process contact-form messages so they can be delivered to our business inbox
- Payment processors — if used for your project, receive the information needed to process transactions on our behalf
- Cloud infrastructure providers — host our platform and data on our behalf
All service providers are contractually required to protect your information and may only use it to perform services on our behalf.
B. Legal Requirements
We may disclose your information if required to do so by law, court order, or government regulation, or if we believe disclosure is necessary to protect the rights, property, or safety of our company, our users, or others.
C. Business Transfers
If we are involved in a merger, acquisition, or sale of all or a portion of our assets, your information may be transferred as part of that transaction. We will notify you via email or a prominent notice on our website of any such change.
4. Data Retention
Retention depends on the type of information, the purposes for which it is used, applicable client agreements, provider settings, and our operational, contractual, and legal requirements. Our retention practices include:
- Customer dashboard access data — retained while access is active and afterward as needed to resolve access, support, security, or contractual matters
- Contact and inquiry data — retained as needed to respond, provide support, maintain business records, resolve disputes, and meet legal obligations
- Transaction records — retained as needed for billing, accounting, tax, fraud-prevention, contractual, and legal purposes
- Website analytics data — retained per our analytics provider's standard retention settings
- IoT platform data — retained according to the applicable client service agreement and as needed to provide, secure, support, and document the monitoring services
- Plugin authorization records — authorization codes and refresh grants become eligible for cleanup when expired; revoked or expired connections become eligible after their grants are removed. Unused OAuth client registrations become eligible after 180 days of inactivity once dependent authorization records are removed
- Plugin approval records — expired approvals and completed or cancelled actions become eligible for cleanup 30 days after their last update. Records with an executing or unknown outcome become eligible after 180 days without an update
- Plugin audit records — limited security and action-audit records become eligible for cleanup 180 days after they are stored
- Plugin hosting records and database backups — Render retains service logs for 7 days under our current workspace plan. Our hosted application database has a 3-day point-in-time recovery window. If a logical database export is created, Render retains that export for 7 days. These are separate from the retention of active database records
Plugin database cleanup runs at service startup and every six hours in bounded batches. These periods describe eligibility for cleanup, not a guaranteed deletion deadline; a backlog or service interruption can delay removal. A deleted record may remain in a backup until that backup expires. Contact support@northeasttelemetry.com for the telemetry period in your service agreement, information about separately retained support or legal records, or a deletion request. Disconnecting the plugin does not change OpenAI's retention of information it already received.
We may delete, anonymize, or archive information when appropriate, subject to applicable agreements and operational, contractual, and legal requirements.
5. Data Security
We take the security of your information seriously and use industry-standard technical and organizational measures to protect it, including:
- Encryption of data in transit using TLS/HTTPS
- Encryption of sensitive data at rest
- Access controls limiting data access to authorized personnel only
- Regular security assessments and monitoring
However, no method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee its absolute security. If you believe your customer dashboard access has been compromised, please contact us immediately at support@northeasttelemetry.com.
6. Cookies and Browser Storage
Our public website may use local browser storage and similar technologies to support optional features and understand site usage. When analytics are configured, event information may be sent to the configured analytics endpoint or provider.
Current public-site uses may include:
- Campaign attribution storage — remembers campaign-source information when it is present in a link
- Estimator recovery storage — helps preserve or recover estimator progress and preferences on your device
- Analytics technologies — when enabled, help us understand pages visited, interactions, campaign source, device type, approximate region, and privacy-protected session behavior
The public website does not currently require a visitor login cookie or use payment cookies for ordinary browsing. A separate customer dashboard or third-party payment page may use its own necessary technologies and notices. You can control or disable cookies and similar storage through your browser settings. Disabling storage may affect estimator recovery, campaign attribution, or other optional features.
7. Your Privacy Rights
Depending on your state of residence, you may have certain rights regarding your personal information. We honor these rights for all U.S. users:
- Right to Know — you may request a copy of the personal information we hold about you
- Right to Delete — you may request that we delete your personal information, subject to certain exceptions (e.g., legal obligations)
- Right to Correct — you may request that we correct inaccurate personal information
- Right to Opt Out of Marketing — you may opt out of receiving marketing emails at any time (see Section 9)
- Right to Non-Discrimination — we will not discriminate against you for exercising any of these rights
To exercise any of these rights, please contact us at support@northeasttelemetry.com. We will respond to verified requests as required by applicable law. We may need to verify your identity before processing your request.
8. Platform Data — Business Clients
When we process IoT device data, sensor data, and operational data on behalf of our business clients, we act under the client's direction and applicable service agreement. This policy describes the public website and plugin practices; the service agreement supplies additional terms for the client's platform data.
We commit to the following with respect to all client platform data:
- We process client data only as instructed under the applicable service agreement
- We do not use client IoT or operational data for any purpose outside of delivering contracted services
- We implement appropriate technical and organizational safeguards to protect client data
- We do not sell client data. We share it with infrastructure providers acting under contract and, when the client enables an integration and an authorized user requests it, return the relevant data to that integration provider, including OpenAI as described in Section 1.E. Disclosures required by law are described in Section 3
Business clients who have questions about how their data is handled should refer to their service agreement or contact their account representative.
9. Marketing Communications
If you choose to receive marketing communications, we may contact you with information about our products, services, and company updates. You may opt out at any time by:
- Using the unsubscribe option included in a marketing email, when available
- Emailing us at support@northeasttelemetry.com with the subject line "Unsubscribe"
Please note that even after opting out of marketing communications, you may continue to receive necessary transactional and service-related messages, such as billing, dashboard-access, alerting, and security notices.
10. Children's Privacy
Our website and services are not directed to individuals under the age of 13, and we do not knowingly collect personal information from children under 13. The plugin is suitable for a general audience, including users ages 13–17, and does not target children under 13. If we become aware that we have inadvertently collected personal information from a child under 13, we will take steps to delete it promptly. 11. Third-Party Links
Our website may contain links to third-party websites. This Privacy Policy does not apply to those sites, and we are not responsible for their privacy practices. We encourage you to review the privacy policies of any third-party sites you visit.
12. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make material changes, we will update the "Last Updated" date at the top of this policy and, where appropriate, notify you by email or through a notice on our website.
Your continued use of our website or services after any changes take effect constitutes your acceptance of the updated Privacy Policy.
